From Zoom to Room

Some of the best partnerships start by pure coincidence.

In 2019, Clarity was running a flagship show when an attendee, who is a planner for another organization, stopped by the tech booth between sessions. The planner noticed the quality, the energy, and the flow, then asked the question we always love hearing: “Who’s producing this event?”

Two minutes and one business card later, the seed was planted. A few months down the road, that same planner's organization invited Clarity to bid on an upcoming event. Although they went with their longtime provider, the connection was there. Then the world stopped.

When COVID hit, everyone needed to pivot quickly to virtual and Clarity's name came up to help that organization with a new solution. This time, the partnership took off.

Our team flew twelve crew members to their headquarters, transforming an unfinished floor into a full broadcast studio. That June 2020 virtual event became one of Clarity’s largest online productions and the start of an ongoing collaboration that has grown year after year. Since then, Clarity has produced multiple events, helping the client evolve from virtual, to hybrid, to fully live.

Event Scope: Polished AV Production with Personality

Client-facing conferences bring together executives, partners, and customers from across the country. It’s where the company shares innovation, celebrates clients, and sets the tone for what’s next. And this client facing event needed to look as polished as the brand itself.

Our client wanted something fresh and unexpected. The concept? A late-night talk show vibe that blended personality with production value. Together, we designed a room featuring three independent stages inside one ballroom, creating a dynamic flow that kept guests engaged while giving every presenter a moment to shine.

Paving the Way for a Successful Production Partnership

When the idea of using three stages floated around, our client wasn’t sure how to technically pull it off. Our team worked side by side with theirs to figure it out. We mapped out technical plans, created renderings, and developed a full show flow. What started as one large connected stage transformed into three distinct environments, each complete with its own lighting, camera systems, and monitors. The result was a design that was both visually stunning and operationally seamless.

Challenges & Creative Approach

Turning a single ballroom into three working stages is no small task. Each stage had its own look and personality, but together they worked like a well-choreographed performance. Sessions ran in succession so that when one stage wrapped, another came to life. Between transitions, custom-branded content filled the screens to keep the energy high and the audience focused.

Our creative team worked onsite to develop content in real time, fine-tuning transitions and adjusting visuals as the show evolved. The collaboration between our organizations kept things flexible, creative, and smooth from start to finish.

From Virtual Events to Multi-Stage Productions

The new three-stage design completely transformed the attendee experience. The audience stayed engaged, leadership loved the pacing, and the overall production felt more polished, more intentional, and more alive than ever.

What started as a quick hallway conversation turned into a multi-year partnership that continues to raise the bar for epic events. From virtual events to late-night-inspired multi-stage productions, Clarity has helped bring our clients' visions to life again and again.
