Your keynote speaker walks on stage and tries to click on the video for slide 2...and the video doesn’t play.
Eight hundred people wait anxiously and the speaker laughs nervously in panic.
We've all been there (unfortunately). And almost every time, it could have been caught an hour earlier in the speaker ready room.
A speaker ready room is a staffed space at a conference where presenters check, load, and rehearse their presentations before they go on stage. Speakers confirm their slides open correctly, their videos play, and their fonts didn't turn into Comic Sans on the way over.
The best speaker ready rooms use the same playback setup as the session rooms. That way, what a speaker sees in the ready room is exactly what the audience sees on screen.
They're not the same thing. A green room is where speakers relax, grab a coffee, and calm their nerves right before going on. A speaker ready room is where the tech work happens. Big conferences need both.
A speaker ready room only works if it's planned like part of the production. Here's how to set one up.
Don't wait for speakers to show up with a USB drive and a dream. Use a presentation upload portal and set a deadline, ideally a few days before the event. Your production team can then check files and flag problems before anyone arrives on site.
A slide deck built for a 16:9 screen could end up looking odd on a different aspect ratio screen. Make sure every presentation matches the screens, LED walls, and playback gear in the room where it will run.
"Stop by whenever" usually means "stop by never." Ask presenters to check in at a set time, often the day before or at least a couple of hours before their session. Put it right into your production schedule.
A multi-track conference with ten breakout sessions needs more coverage than a single general session. Plan enough technicians to handle the morning rush, when everyone shows up at once.
Keep a copy of every final presentation on the show network and in the session room. If a laptop dies, the show doesn't.
Clarity Tip: Have your ready room techs share last-minute changes with the show caller and operators in real time. That swapped slide only helps if it actually makes it to the stage, and to the confidence monitors.
We've been in the room for Trace3's kickoffs since 2016.
For 2023, teams across the country needed to plan their year together, whether they were in the office or at the event. So we turned Trace3’s event into a hybrid hub. We wired spaces for audio and video, ran every room from one control point, and cut their partner videos into one polished reel.
The result? One kickoff that felt connected wherever attendees were tuning in.
A great speaker ready room is invisible to your attendees. They just see presentations that work. That's kind of our thing.
