3 Stage Design Tips to Make Your Event Look Like a Million Bucks
“Wait, Where’s the Stage?”
Let’s be real: if your stage doesn’t look good, people are going to notice… From LED arches to ADA-accessible ramps, a smart stage design does more than give your keynote speaker a place to stand, it literally sets the stage for the conference. For this blog, we’re breaking it down into 3 stage design tips straight from the AV trenches (plus a spicy take on gray drape).
1. Start With Conference Purpose, Not Just Specs
“What’s the goal of this event, and who’s it for?” Before you start sketching out your stage, ask:
- What are we trying to make attendees feel?
- What needs to happen on this stage (panels, walk-ons, performances, etc.)?
- Are there branding elements or themes that should carry over from last year?
Pro Tip: Figure out the “bucket list” items early. If you or your client want an LED tunnel entrance and a fog machine synced to a keynote speech, we’re gonna need to know that before setup day. No matter how weird, it’s important to speak these things into existence early to ensure your AV production partners can make it happen.
This is your chance to collect the “intangibles.” We’re not just asking about dimensions, we’re asking how people should feel when they walk in. Energized? Inspired? Like they stepped into a spaceship? These early conversations shape everything from lighting tone to scenic choices. Also: past events are gold mines. What worked? What fell flat? Dig up the highlights (and horror stories) to guide the new design.
2. Budget is Your Friend (Sort Of)
We get it, budget talk kills the creative buzz. But here’s the thing: design loves clarity (pun intended). An easy way to combat this is with scalable designs. - Modular and scenic elements like printed backdrops and even pipe & drape (when used well) can do the trick.
- LED is great, but if it’s not in the cards, strategic lighting + physical branding can still get the job done.
Gray drape? Only if you want every wrinkle and tech case behind it to be immortalized in hi-def.
Black drape = infinite space and camera-friendly mystery.

A single well-programmed wash or LED tube wall can completely change the vibe of a space without adding a single scenic piece. Want to add movement? Drop in a few intelligent fixtures. Want branding on a budget? Consider gobos; just make sure your room isn’t washing them out. The trick is to think in layers: mix lighting with soft scenic or minimal set pieces to stretch your budget while still looking intentional.
BONUS ROUND: Other Things That Matter But People Forget
- ADA ramps: Plan for it before so you won't worry about it later.
- Camera shots: Want your branding to show up on screen? Stage it for the camera.
- Gloss stages: Beautiful… until someone scuffs it, or projection washes it out. Dark carpet can be helpful as it’s reusable, which will cut down on cost.
